Guide · Minutes to signatures

How do I go from meeting attendance to signed minutes in one flow?

Take attendance by QR code, write the minutes together, then send the approved minutes for signature: the signed PDF carries a PAdES signature and a QR code anyone can verify.

A meeting produces three records that usually live in three places: the sign-in sheet on paper, the minutes in a Word file, and the signatures on a scan. Sealique keeps them in one event: participants check in by QR code, the minutes are written in a shared editor with mentions and versions, and the final PDF is signed by the people you choose and sealed so that the record can be verified years later.

Key facts

  • One Sealique event holds the QR attendance register, the minutes and the signed PDF record of a meeting.
  • Minutes are written by several collaborators in a rich editor with mentions, images and custom sections; every change is kept as a version.
  • Mentioning a person in an action item gives them access to the minutes, so follow-up reaches the owner.
  • The approved minutes export to PDF and go to the attendees you choose for a PAdES digital signature, in order or all at once.
  • The signed record carries a verification ID and a QR code; anyone can check it on the public verification page.

Who is this flow for?

Board secretaries and company secretaries who must file signed minutes; cooperatives and SACCOs whose members approve resolutions; NGOs that report meetings to donors; government units and district offices that keep meeting records; school boards and associations. Anyone who has chased signatures on a printed minute will recognise the problem.

How does attendance feed the minutes?

The event's QR register records who checked in and when, with a drawn or typed signature when the field is on. The attendance list is available while the minutes are written, so the list of those present is right, and the sealed attendance sheet can be exported as its own PDF.

How are the minutes written and approved?

Open the Minutes tab of the event. Collaborators write together in a rich editor: headings, lists, tables, images, your own sections such as Decisions and Action items. Mention a colleague with @ to assign an action; they get access and a notification. Versions are kept automatically, so the history of the text is never lost. When the text is final, export it to PDF.

How do the minutes get signed and verified?

Send the exported PDF for signature from Documents: add the chair, the secretary and any member who must sign, choose sequential or parallel order, and send. Each signer opens a personal link, accepts the consent statements and signs from a phone. The sealed PDF carries a PAdES signature per signer, a platform certification seal, a verification ID and a QR code, and the certificate of completion lists every step.

Minutes to signatures, step by step

  1. Create the event and take attendance

Create the meeting in Sealique, show the QR poster, and participants check in from their phones.

  2. Write the minutes together

Open the Minutes tab, write with your collaborators, mention the owners of action items.

  3. Export and send for signature

Export the approved minutes to PDF and send them to the chair and secretary for signature.

  4. Keep the verifiable record

The sealed PDF and its certificate of completion are the official record; the QR code proves it later.

Questions people ask

Can attendees sign the minutes from their phones?

Yes. Each signer gets a personal link, needs no account and signs by drawing or typing; the sealed PDF carries every signature.

Can several people write the minutes at the same time?

Yes. Collaborators you add edit the same minutes; changes are saved as versions so nothing is overwritten silently.

How are action items tracked?

Mention the responsible person in the minutes; they receive access and a notification, and the item stays in the signed record.

Is the signed record accepted by auditors and donors?

It is a PDF sealed with PAdES digital signatures, a certificate of completion and a public verification page; ask your auditor which evidence they require.

What if the meeting had no QR attendance?

You can still write the minutes and send them for signature; attendance by QR is optional.
